The confirmed experience

Music supporting a community program

Illuminate brings attention to students and the communities supporting them. For the 2024 Greenville gathering, the organizer’s planning correspondence identified Carolina High School at 2725 Anderson Road and requested modern, teen-friendly music with clean lyrics. The schedule combined a community meal, student performances, organizational remarks and other presentations.

RPE’s records assign this engagement to Alex Salazar, known as DJ Salazar. After the event, Kristin Garner of Communities In Schools of South Carolina left a five-star Google review. The available review excerpt begins:

“DJ Salazar did a phenomenal job at our event!”

— Kristin Garner, Google review notification dated November 12, 2024. Excerpt; see RPE reviews.

That feedback supports the performer attribution and the completed engagement. The planning advice below builds on the event brief; it does not claim that every scheduled minute unfolded exactly as written. Patrick supported RPE’s coordination. DJ Salazar was the named performer for this event.

Build the sound plan around the program

A community celebration has several listening needs. Background music can welcome guests during food service, while a student performance needs a clear opening cue and the right accompaniment. Remarks need intelligible speech, with music lowered or stopped before the speaker begins.

Illuminate’s organizer requested music ready for the 5:30 p.m. opening. The supplied agenda then moved into a structured program around 6:30 p.m., including student performances and remarks. This is a useful distinction when booking: a two-hour public gathering may require preparation, sound checks and equipment placement well before the doors open.

Give the entertainment team a run of show with separate columns for time, speaker or performer, microphone needs and audio cues. Mark which times are fixed and which can move. A nominated event lead should communicate changes so the DJ is not receiving conflicting instructions from several volunteers.

Choose clean music that still feels current

The brief for this Greenville event specifically called for modern music suitable for teens, with clean lyrics. That is more useful than simply asking for “family-friendly” music, but the playlist still needs a shared definition. An edited version may remove profanity while retaining themes an organizer would prefer to avoid.

Before the event, discuss the audience, the organization’s standards and any songs or subjects to exclude. Identify a few approved examples of the desired energy. The DJ can then build a wider selection that fits the room without turning the event into a playlist consultation during every transition.

Decide how guest requests will be handled. For a school or nonprofit program, one organizer can approve exceptions. Keep the welcome and meal portions comfortable for conversation, then adjust energy to suit the activity. A community event does not need continuous dance-floor intensity to feel engaging.

Prepare student tracks and microphone handoffs

For Illuminate, the organizer planned to collect MP3 accompaniment files from student performers. Advance delivery gives the audio team time to identify each file, check its opening and ending, and confirm which version a performer expects. A link alone may depend on a login or internet connection that will not be available on site.

Label files with the performer’s name and running order. Confirm whether the track begins immediately, follows an introduction, or starts on a visual cue. If a performer needs a shortened introduction or a specific start point, record that instruction alongside the file instead of relying on a last-minute verbal request.

The agenda also identified remarks needing microphones. Discuss whether speakers stay in one position or move, who introduces the next person, and where a microphone returns after use. A short rehearsal with the event lead can reveal awkward handoffs before the audience arrives. Confirm the number and type of microphones as part of the quote rather than assuming that every setup includes the same equipment.

Plan for the venue, volunteers and guest flow

The 2024 schedule referenced several areas, including an entrance route, a cafeteria, an experience space and a courtyard stage. That makes a site-specific conversation valuable: where should guests hear music, where must announcements reach, and which spaces need to remain quieter?

Ask the venue and entertainment team to agree on equipment positions, available power and cable routes before setup. Keep entry points and volunteer work areas clear. If activities use both indoor and outdoor spaces, confirm the weather plan and who decides when to move. Outdoor equipment needs appropriate cover, and a last-minute relocation can change the time and equipment needed.

Include arrival instructions and a named onsite contact in the vendor brief. Illuminate’s organizer supplied parking guidance and an end-of-evening building deadline. Those details help the team plan load-in and breakdown without interfering with guests. For a new event, reconfirm current access arrangements directly with the school or venue.

What to include in your entertainment inquiry

Start with your event date, venue, approximate audience size and the purpose of the gathering. Share the public start and finish times, plus the time vendors may enter and must leave. Explain whether the booking involves background music, DJ entertainment, announcements, student accompaniment or a combination.

Attach a preliminary schedule even if some speakers are still being confirmed. Note any separate rooms, outdoor activities, video playback and microphone requirements. This helps RPE prepare a quote around the work involved rather than just the number of hours guests attend.
